Website Hosting & Maintenance Payment Policy

Business: Easy Flow Web Design

1. Payment Terms

Website hosting and maintenance services are provided on the basis that all invoices are paid by the due date stated on the invoice.

Clients are responsible for ensuring that hosting, maintenance, domain, email and any other applicable service fees are paid on time to keep their services active.

2. Overdue Payments

If an invoice remains unpaid for more than one month after its due date, Easy Flow Web Design reserves the right to temporarily pause the associated services.

For overdue hosting payments, this may include taking the website offline.

For overdue maintenance payments only, maintenance services may be paused until payment is resolved. The website will not be taken offline solely because maintenance fees are overdue, provided hosting and other services required to keep the website online remain paid.

Reasonable notice will be provided before a website or maintenance service is paused.

3. Website Suspension

If a hosting payment remains outstanding beyond the one-month period, the website may be taken offline until the outstanding hosting balance and applicable reactivation fee have been paid.

While a website is suspended:

• The website will not be publicly accessible.

• Hosting services may be paused.

• Scheduled maintenance and updates may also be suspended while the website is offline.

• Easy Flow Web Design is not responsible for loss of enquiries, sales or other business resulting from the website being unavailable due to an overdue account, to the extent permitted by applicable law.

A pause caused solely by overdue maintenance fees is handled under Section 7 and does not constitute a hosting suspension.

4. Reactivation Fee

Where a website has been taken offline due to overdue hosting payments, a $50 reactivation fee will apply in addition to the outstanding hosting balance.

The website will be reactivated once the outstanding hosting balance and applicable reactivation fee have been paid.

No late-payment or reactivation fee applies to a pause caused solely by overdue website maintenance payments.

5. Domain Renewals

Where Easy Flow Web Design pays a client’s domain renewal on their behalf, the client remains responsible for reimbursing the applicable domain renewal cost.

Domain registration and renewal costs are separate from website hosting and maintenance fees unless otherwise stated on the client’s invoice.

If a domain renewal payment is not reimbursed, Easy Flow Web Design may decline to continue paying the renewal on the client’s behalf.

Clients should be aware that allowing a domain to expire may result in the website, domain-based email addresses and other services connected to the domain becoming unavailable.

6. Hosting Fees

The standard Easy Flow Web Design hosting fee is currently $100 per year, unless a different price has been specifically agreed upon with the client.

Any discounted or grandfathered hosting rate provided to an existing client is considered a special arrangement and does not establish the standard hosting rate for future clients.

7. Website Maintenance

The standard website maintenance service is currently $30 per month, unless a different price has been specifically agreed upon with the client.

Maintenance may include website updates, security checks, malware scanning, backups, image optimisation, minor website edits and priority support, depending on the client’s maintenance package.

Overdue maintenance payments

Clients retain a one-month period after the invoice due date to resolve an overdue maintenance payment before maintenance services may be paused.

No late-payment fee will be charged for overdue maintenance payments. However, if payment remains outstanding beyond this period, maintenance services may be paused until payment is resolved or an alternative payment arrangement has been agreed upon in writing.

During a maintenance pause, the maintenance tasks and support included in the client’s package will not be provided. This may include updates, security checks, malware scanning, backups, image optimisation, minor edits and priority support.

The website will remain online provided hosting and other services required to keep it online remain paid.

Maintenance will resume once payment is resolved or an agreed payment arrangement permits services to resume. No maintenance reactivation fee will apply.

Repeated late payments

If late maintenance payments become an ongoing issue, Easy Flow Web Design may require annual payment upfront for future maintenance services.

Any change to annual upfront payment, including the amount and commencement date, will be communicated to the client in writing before it takes effect, subject to any existing contractual obligations.

8. Payment Arrangements and Exceptions

Easy Flow Web Design understands that clients may occasionally experience delays in receiving payment from their own customers or businesses.

Individual payment arrangements or extensions may be approved at Easy Flow Web Design’s discretion.

Any agreed extension or alternative arrangement applies only to the specific situation discussed and does not permanently change the client’s normal payment terms unless confirmed in writing.

9. Long-Term Overdue Accounts

Where payments remain significantly overdue despite reminders or agreed extensions, Easy Flow Web Design may suspend the services associated with the unpaid invoices until the account has been brought up to date.

Overdue maintenance payments alone will result in a pause of maintenance services, rather than taking a paid-up hosted website offline.

For accounts that remain unpaid for an extended period, Easy Flow Web Design may also terminate the associated hosting or maintenance services, subject to any applicable contractual obligations.

10. Changes to This Policy

Easy Flow Web Design may update this policy from time to time to reflect changes to hosting providers, service costs, business practices or payment requirements.

Clients will be notified of any material changes that affect their existing services.

If you are experiencing difficulty paying an invoice, please contact Easy Flow Web Design as soon as possible. Payment arrangements may be considered on a case-by-case basis.
