Booking software should fit your appointment process, not just the appearance of the booking page. Compare availability rules, staff calendars, reminders, payments and the full ongoing cost before choosing.
Five options to compare
These are examples to investigate, not a ranking or a claim that one platform suits every business. Plan details change; use the official links to check the current offer.
- Acuity Scheduling: compare the paid plans and trial terms. A free trial is different from an ongoing free plan.
- Calendly: check the limits of the free plan and which functions require paid plans.
- Fresha: review subscriptions, payment and marketplace-related charges. It should not be described as universally free.
- Book Like A Boss: compare the relevant freelancer or team plan and trial conditions.
- SimplyBook.me: compare booking, provider and feature limits for the plan you need.
Compare the whole booking arrangement
1. Appointments
Durations, buffers, availability and time zones.
2. People
Staff calendars, rooms and resource requirements.
3. Messages
Confirmations, reminders and cancellation instructions.
4. Costs
Subscriptions, payments, messages and add-ons.
Write down your requirements
List the services customers can book, appointment durations, preparation time and who can deliver each service. Decide whether customers book immediately or request approval, and whether payment or a deposit is needed.
Check how changes and cancellations are handled. Confirm what the customer sees and what arrives in the business calendar.
Test the website connection
Follow the booking route on a phone and computer. Check that the correct service opens, the time zone is clear, the confirmation arrives and the booking appears where staff expect it.
An embedded booking tool should remain usable on a small screen. If an external booking page is used, make the transition clear and keep the link current.
Keep the responsibilities documented
Record who owns the account, who updates availability and who pays renewal charges. Keep the provider’s support details available. Review the workflow when services or staffing change.
Choose the tool after testing your real workflow, rather than relying on a generic “best software” list.
